1. Background
Colombia Diversa is a non-profit organisation dedicated to the protection of the human and legal rights of LGBTIQ+ people in Colombia. Since its creation in 2004, Colombia Diversa has stood out as a pioneering organisation in the defence of the rights of the LGBTIQ+ community in Colombia, achieving impacts that have spread to other Latin American countries.
The organisation works tirelessly to support people who face discrimination based on their sexual orientation or gender identity, with the goal of building a society where all people can live free from prejudice. Its strategic litigation actions have achieved key legal victories, significantly expanding rights and protections for the LGBTQI+ community. Through its advocacy work, Colombia Diversa has pushed for important policy changes at the highest levels of government and has been recognised both nationally and regionally as an authority on LGBTQI+ rights.
2. About the position
Colombia Diversa is looking for an Administrative and Logistics Professional to support the Grants and Finance Manager in administrative and logistical tasks and procurement processes, ensuring compliance with organisational policies and procedures, respecting the regulations of the United States Agency for International Development, USAID.
3. Main Roles and Responsibilities
Administrative and logistical support:
- Manage and coordinate the logistics of meetings, training, events (quotations, purchase orders and services, competitive processes) and travel (settlement and legalisation of per diems, air and land tickets and legalisation of transport related to the project).
- Manage administratively the implementation of project activities, complying with Colombia Diversa's procedures.
- Maintain updated physical and digital project files, ensuring the organisation and availability of information.
- Support in the elaboration of administrative-financial and progress reports required by the donor, and work hand in hand with the Donations Manager and the project accountant, the corresponding budget execution.
Purchasing processes for goods and services:
- Coordinate and execute procurement processes for goods and services, following the policies and procedures of the organisation, including the request for quotations, evaluation of suppliers, comparative tables, selection minutes and preparation of contracts and purchase and service orders.
- Monitoring compliance with contractual agreements with suppliers and service providers.
- Ensure proper documentation of procurement processes in accordance with USAID regulations.
Donations Management:
- Support the Donations Manager in the implementation of project activities, ensuring transparency and effectiveness of allocated resources.
- Perform other activities related to the position as assigned by the Grants Manager or Project Director.
4. Job Requirements
Academic Background:
- Professional degree in areas such as business administration, accounting, economics, or related fields.
Professional Experience:
- Minimum 5 years of experience in administrative and logistical positions in non-profit organisations, in human rights social projects.
- Administrative, budgetary and logistical experience in international cooperation projects, preferably with USAID.
Specific Skills and Knowledge:
- Sound knowledge of purchasing and procurement processes.
- Ability to handle multiple tasks in an efficient and organised manner.
- Excellent command of Microsoft Office.
- High numerical capacity
- High level of English (desirable).
Personal Competences:
- Identification with the values and mission of Colombia Diversa, especially in the defence of the rights of LGBTIQ+ people.
- Excellent communication and teamwork skills.
- Commitment to the principles of diversity, inclusion and respect.
