Object:
To contract the services of one (1) administrative assistant, to carry out administrative and logistical office and project processes for Colombia Diversa.
Profile:
The Administrative Assistant should be an organised, proactive, team-oriented and detail-oriented person who contributes to the administrative, logistical and financial management of Colombia Diversa. He/she is expected to have skills in planning, process monitoring, effective communication and responsible management of the organisation's information and resources.
Academic backgroundTechnical or professional in Business Administration, Administrative Management, Finance or related careers.
Experience and RequirementsMinimum two (2) years of experience in administrative positions, accounting support, event logistics management and contracting. Experience in social organisations or in the implementation of agreements with international cooperation agencies is desirable.

4. Functions:
The administrative professional will report directly to the Administrative and Financial Management of Colombia Diversa.
The main functions include the following:
- Receiving and dispatching physical or electronic correspondence from the office.
- Coordinate the contracting of administrative services for the office (cleaning, cafeteria, stationery, maintenance, technology equipment).
- Custody and control of the office's petty cash in accordance with administrative procedures.
- Coordinate general office services and maintenance.
- Maintain an up-to-date inventory of office equipment and supplies.
- Support the custody, proper use and control of electronic equipment, fixed assets and office supplies.
- Follow up on the correct functioning of technological equipment and coordinate support with the systems engineer.
- Attending to the public in the office and via telephone, recording and delivering messages to the corresponding areas.
- The role is to receive invoices, accounts receivable from suppliers and contractors, delivering them in a timely manner to the accounting and financial area for processing.
- Support the accounting area with archiving, scanning and mailing of annual donation certificates.
- Prepare tax exemption certificates for supplier invoices for each project.
- Organising and keeping physical and digital archives of projects and administrative processes.
- Monthly filing of accounting information by project under the instructions of the accountants.
-Responsible for opening and closing the office, and coordinating with building management for staff or suppliers.
- Support the collection of legal and tax documents for projects and reports to funders.
- Produce certificates of employment, suppliers, contractors, trainees and volunteers.
- Support the recruitment and engagement of interns and volunteers.
-To make affiliations to ARL, Caja de Compensación and EPS of labour personnel and contractors.
- Coordinate the social welfare activities of the organisation.
- Support contracting processes for Colombia Diversa goods and services and cooperation projects.
- Fill out commercial and tax forms requested by suppliers.
- Support office and project logistics processes (tickets, boarding passes, travel expenses, legalisations, transport).
- Perform other duties assigned by the Executive Management and the Administrative and Financial Management of the organisation.
5. Type of contract:
Fixed-term employment contract, governed by the legislation, rates and taxes of the Republic of Colombia. The contract will be signed initially until December 2025, with a probationary period and the possibility of renewal, depending on performance and availability of resources.
6. Value:
Monthly salary of Two Million Nine Hundred Thousand Pesos M/Cte. ($2.900.000) plus social benefits of law, payable in Colombian Pesos.
7. Dedication:
Working day from Monday to Friday, from 8:30 a.m. to 5:00 p.m. (face-to-face) in Bogotá, Colombia.

10.Assessment.
The Evaluation Committee will pre-qualify the resumes and select three (3) for the interview process.

11. Disqualifications for contracting.
Natural persons whose family circle includes an employee or contractor up to the second degree of consanguinity, affinity or civil relationship, who is currently linked to the organisation, shall be ineligible to contract goods and services with Colombia Diversa.
When the inability arises within the selection process, it shall be understood that the tenderer waives its participation in the process and the rights arising therefrom.
